Credit Notes: What They Are and When to Use Them

When we talk about credit notes we are referring to tax documents that have the same requirements as the invoice art. 21, with the only difference of having to replace the wording "invoice" with the wording "credit note". They are used to cancel previously issued invoices in whole or in part. Credit notes can only be issued if the invoice has been previously issued.

When talking about the various documents that make up the finances of a company, one of them is called "credit notes". These are fiscal instruments with similar requirements to invoices and which must be paid in full when presented for payment by the corresponding debtor or debtors.


A credit note consists of two parts: an acceptance clause which says "I accept this agreement" or "We agree to reconcile the accounts at such date/time", followed immediately afterwards by formalities such as the date signed etc. which ensure compliance with the law not only by the customer but also by the party sending the transaction; the payment amount becomes due three days after sending if a stamped envelope (letter size) is used, ten working days.

When talking about credit memos, it's important to know the difference between tax documents and invoices.
Invoices have certain requirements that must be met for them to work as an invoice: they need a date at the top indicating when payment is due; there is a need for written information regarding what was purchased by whom, how much it cost etc; finally - but importantly - all prices on the inventory lists have been increased by 10%. If these criteria are not met, any attempt to send this type of card will only result in frustration!

When to issue credit notes?

These tax documents can be issued in the event that an invoice has not been paid in full, or in the event of termination of a contract.

Credit notes are a popular way to collect an unpaid invoice. If one has been sent to you, please make sure it is authentic and does not say "graffiti" or anything similar at the top of the page before making any payments as they may be fraudulent!

But still these notes can be issued if you want to report an error on the invoice. In this case, the errors can concern different parameters: the amounts, customer data or the issue date. In this case, issuing a credit note can remedy these issues.

In the event that the goods need to be returned, it is not possible to do so exclusively by sending them back to the sender. Rather it is necessary to issue such a document.

Knowing the information regarding these tax documents as best as possible is essential in order to be able to make the best use of the VAT number functions.

How a credit note is made

Before proceeding with issuing a credit note it is good to learn how to recognize it. For this reason it is important to understand how it is structured. As mentioned, this is a fiscal document that must contain a reference to the previously issued invoice, description of the product, and date and number of the invoice.

In short, the credit note is a very useful functional element to better understand how the entire discussion focused on the tax regime foreseen for any business works.
