This is an indispensable device in every commercial establishment given that in our country there is an obligation to have a cash register. The used recorders are functional and have more functional access costs than many other devices.

Italian law requires that every commercial activity must issue a purchase receipt or receipt every time a transaction takes place.

A cash register is made up, at least in the most modern versions, of a drawer for collecting coins and banknotes, a keyboard with numbers and letters and a monitor.

In some cases, it can also be connected to a scanner to read the barcode of items and to a POS for debit or credit card transactions.

There is also a part of the cash register responsible for issuing the tax receipt to the customer.

In recent years, the telematic cash register has been introduced. This no longer requires printing the receipt. In fact, the data is transmitted electronically directly to the revenue agency. This procedure is called "electronic correspondence".

If you purchase a used non-fiscal cash register, you can implement the fiscalization function on it. How to do it? We are talking about a simple procedure, which however requires attention especially if you are not very knowledgeable about the various steps to be carried out. First of all you need a cash register very little used, installed by a competent company in the sector.

Obviously this register must be in good working order and therefore must have a operation certification issued by a technician, furthermore it must have, booklet with the various data relating to the same tax exempt cash register. All you need to do is install the fiscal memory. In this case it will be possible to make a used cash register a used fiscal cash register. For each item sold you must enter the value in euros, press the code key and enter the number of corresponding items.

Obviously, in the case of a cash register connected to a scanner, everything will be even simpler!

Once the total price appears, you need to enter the amount of money and the machine will also tell you any change.

With debit or credit card, you use the POS.

IPad as a cash register

Many stores have replaced traditional cash registers with iPads to further facilitate transactions.

These new cash registers also lend themselves to a variety of uses.

They can be used anywhere in the store.

Or they can be placed in a fixed place.

The use of iPad speeds up both the registration of sold items and payments.

Where do you buy a cash register?

You can purchase a cash register from an authorized retailer or on the Internet.

To use a cash register you need to carry out operational tests with a technician.

With this procedure, called taxation of the cash register, you will be issued a booklet.

This will contain the data of the manufacturing company, the retailer, the user and the serial number through which the manufacturer can proceed with the activation of the fiscal memory.

Taxation is mandatory and is the responsibility of the user who carries it out.

Any change will require the intervention of a specialized technician and the cost will always be borne by the owner.

Annual checks are also at the user's expense.

If the device does not pass the first or subsequent checks, the technician will deem it "unusable".

If you want to buy a new cash register, you will have to exempt the previous cash register from tax.

How much does it cost?

The price varies from €200 to €800 for models equipped with more functions. The electronic cash register can reach almost €2,000.

The software is provided by resellers for an annual or monthly fee. We are talking about €15 or €30 per month depending on the modules activated.

If you have a small business, a cash register with few functions will be fine.
If instead you have a business that sells many types of items, it is preferable to opt for more complex models.
In other words, you will have to evaluate what your needs are.

When is it needed?

Not all companies are obliged to equip themselves with this device. In fact, it only concerns companies whose revenues are made with cash payments, which have invoiced up to €15,000 per year, of which at least €7,500 collected with cash or other similar payment methods.

If a company does not have a cash register or uses a non-fiscal cash register, a fine of up to €5,000 is foreseen while in case of data tampering it can reach up to €25,000.

Do you know that from 1 January 2018 electronic invoicing is mandatory?

Buying a used cash register, in most cases is not a good deal.

You pay less, but to carry out the above operations, you could also spend 160/180.00 euros.

Furthermore, it should be kept in mind that these devices have a pre-established life, so while a new one lasts approximately 9 years, a used one will have a residual life determined by the difference between the 9 years and the years of use already had.

In Italy, the law provides for the use of the fiscal cash register for all subjects who carry out retail sales of goods and services. The cash register fiscalization must be carried out by a qualified technician, who will take care of programming the device with the correct fiscal settings.

To proceed with cash register taxation, the qualified technician must enter the business data into the device, such as the name, address, tax code and VAT number. Furthermore, the basic parameters of the device will be set, such as the date and time, the numbering of the receipts and the percentage of the VAT rate applied.

Once the cash register taxation procedure has been completed, this will be able to issue receipts valid for taxation purposes. Every time a sale is made, the cash register will print the receipt which must be given to the customer.

It is important to remember that the fiscal cash register must always be active during business opening hours and that it is necessary to keep the fiscal receipts issued for at least five years. In case of checks by the Revenue Agency, it will be necessary to show the tax receipts issued during the period of activity.
